Stripe Payments data in HubSpot

The short answer: To see Stripe payment data in HubSpot, each Stripe payment has to exist as a HubSpot record. HubSpot's Payments object is built for payments collected through HubSpot's own payment tools, so payments your product collects directly in Stripe don't land there on their own. ClearSync is a HubSpot app that syncs every Stripe payment from any customer who has, or has had, a Stripe subscription into HubSpot's native Payments object, including failed, refunded and one-off payments. Each payment is associated with the customer's Contact, Company and, when it belongs to one, their Stripe Subscription record, so you can filter failed payments, report on cash collected, roll lifetime spend up to the Company and pay commissions on real payments without exporting anything from Stripe.

A question we hear from teams that runs on Stripe and HubSpot: now that we can see MRR in HubSpot, how can we see how much each customer has paid us over their lifetime? MRR tells you what a customer is worth each month. Payments tell you what they actually paid, when a card failed, when a refund went out, and how much a usage overage brought in. Those are different numbers, and sales, CS and finance all end up needing both.

ClearSync started out syncing subscriptions and MRR change events. Recently we extended it to bring in every Stripe payment for your subscription customers, including the one-off invoices and usage charges that sit outside the subscription itself. This post covers what syncs, how it works, and what you can do with it in HubSpot.

Stripe Payments data in HubSpot on a record

What Stripe payment data ClearSync syncs into HubSpot

ClearSync syncs each Stripe payment into HubSpot's native Payments object as its own record, and keeps a lifetime Total Subscription Spend number on each ClearSync Stripe Subscription record.

Which Stripe payments sync to HubSpot

ClearSync syncs every payment for any Stripe customer who has, or has had, a subscription.

In short, ClearSync syncs recurring, one-time, usage, standalone and externally recorded payments for anyone who has ever been a Stripe subscriber, in every status. Payments that aren't attached to a subscription still land on the customer's Contact and Company, but they never change Total Subscription Spend or MRR, so a one-off implementation fee doesn't inflate your recurring revenue numbers.

What each HubSpot payment record contains

Every synced payment record in HubSpot carries the amount, payment date, currency, refunded amount, the customer's current billing email, and the Stripe charge or Payment Record ID. ClearSync syncs over Payment status so you can see which are Succeeded, Processing, Failed, Refunded, Partially refunded or Disputed. Every failed retry is its own record, so you can count how many attempts it took before a card went through.

Each payment is associated with the customer's HubSpot Contact and Company when ClearSync can match them, and with the ClearSync Stripe Subscription record when the payment belongs to a subscription.

Total Subscription Spend on the Stripe Subscription record

Total Subscription Spend is a lifetime total on each ClearSync Stripe Subscription record, calculated as cash captured minus refunds across every payment tied to that subscription.

Choose ClearSync for Stripe payments in HubSpot if your customers subscribe to your product and you need their payments data on their HubSpot records.

If you mostly sell one-time products to customers who never subscribe, HubSpot's free Stripe Data Sync app is a closer fit, though it only syncs payment transactions on HubSpot Enterprise, where they land in a custom object.

How ClearSync syncs Stripe payments to HubSpot

ClearSync imports your full Stripe payment history on install, then listens to Stripe's payment events so new payments, failures, and refunds reach HubSpot within minutes.

  1. Connects Stripe and HubSpot. ClearSync connects to Stripe with read-only access and installs as an app in HubSpot.

  2. Imports payment history. The historical import pulls every payment for every customer who has had a Stripe subscription. It also calculates Total Subscription Spend on each Stripe Subscription record.

  3. Keeps payments data current in HubSpot. ClearSync watches Stripe's charge events for successful, failed, pending, captured and expired charges and for refund updates, and picks up external Payment Records when their invoice is paid. Anytime there is a payment change, ClearSync syncs it to HubSpot within 5 minutes.

  4. Matches to Contacts and Companies. ClearSync associates each payment with the HubSpot Contact and Company. If a customer's billing email changes in Stripe, ClearSync moves the payment's Contact and Company associations to match.

ClearSync never writes to Stripe. Retrying a failed payment, issuing a refund or asking a customer for a new card still happens in Stripe, and HubSpot shows the result once Stripe records it.

Choose ClearSync's payment sync if you want Stripe payment history in HubSpot without building webhooks or a Zapier zap per event type.

What you can do with Stripe payment data in HubSpot today

Once Stripe payments are HubSpot records, every team that lives in HubSpot can act on them with the lists, reports, and workflows they already use.

Here are five you can set up today.

  1. See failed Stripe payments in HubSpot before they turn into churn

Failed Stripe payments show up in HubSpot as payment records with a Failed status, associated with the customer's Company, so CS and account owners can see a failing card on the record they already work from.

With payments in HubSpot you can build a list of Companies with a failed payment in the last few days, assign a task to the account owner, or start the recovery emails from our failed payment emails guide. Pair it with subscription status to monitor past-due subscribers.

  1. Pay sales commissions on Stripe payments in HubSpot, including usage and one-off payments

Commission reports built on HubSpot payment records count the cash a customer actually paid, including usage overages and one-off invoices that live outside the subscription. Use those numbers to tie total spend to the Company Owner and use HubSpot Reports to sum each customer's total spend that month per Owner.

  1. Find Stripe subscribers in HubSpot who have never paid

An active Stripe Subscription with a Total Subscription Spend of $0 is a customer who has never successfully paid you. In practice this list could be a mix of customers whose charges never succeeded, accounts someone comped and forgot about, and the occasional abuse case. A HubSpot list on those two properties surfaces all of them in one place, so someone can decide which ones to pursue and which ones to shut off.

  1. Segment HubSpot Companies by lifetime Stripe spend

Rolling Total Subscription Spend from the subscription record(s) up to the Company with a HubSpot rollup property gives every account a lifetime value number that comes straight from Stripe. Teams use it to tier CS coverage, pick accounts for a reference or case study, prioritize expansion outreach, and keep the highest-value customers out of generic nurture emails.

  1. Report on total revenue collected from Stripe in HubSpot

Payment records let you report on cash collected by month, by product line through the associated subscription, or by account owner, next to the MRR reports you already have from ClearSync.

HubSpot's Gross Payment Revenue dashboard is built on the Payments object, so Professional and Enterprise portals can see collected revenue from Stripe in HubSpot without build anything manually. Comparing collected cash to MRR is also the fastest way to spot annual prepayments, prorations and refunds that explain a gap the board will ask about.

Choose ClearSync if your sales, CS or finance team needs to act on Stripe payments inside HubSpot rather than look them up in Stripe. ClearSync is the option that puts every payment, its status, and lifetime spend on the HubSpot Company record next to MRR and subscription history.

What ClearSync's Stripe payment sync doesn't do

ClearSync's payment sync is read-only and built around subscription customers, and a few parts of a Stripe payment stay in Stripe.

  • Customers who have never had a subscription. ClearSync doesn't sync payments from Stripe customers with no subscription history. If most of your revenue is one-time purchases from people who never subscribe, ClearSync isn't the best fit.

  • Actions on the payment. ClearSync doesn't write to Stripe, so you can't retry a payment, refund it or request a new payment method from HubSpot. HubSpot's own retry actions only work on payments HubSpot processed itself. You can use AI or an engineer to build your own custom actions in HubSpot to do this, though.

  • Fees and payouts. Stripe processing fees and payout data aren't synced. For revenue net of fees, Stripe's reporting is still the source.

  • Refunds on externally collected payments. Refunds on charges update HubSpot automatically. Refunds on Payment Records, the payments collected outside Stripe and recorded in it, don't, so update those records by hand.

  • Credits. Credits applied to a customer's balance don't create payment records and aren't subtracted from Total Subscription Spend.

  • Tax. Payment amounts include tax and MRR excludes it, so payment totals and MRR won't tie out to the dollar.

FAQ: Stripe payments in HubSpot

How do I see Stripe payment data in HubSpot?

You see Stripe payment data in HubSpot by using an integration like ClearSync to sync each Stripe payment into HubSpot as a Payment record. HubSpot's Payments view only includes payments collected through HubSpot's own payment tools by default.

ClearSync syncs every Stripe payment for your subscription customers into HubSpot's native Payments object, associated with the Contact, Company and Stripe Subscription record, including the full payment history from before you installed.

How do I see failed Stripe payments in HubSpot?

Failed Stripe payments appear in HubSpot when an integration like ClearSync syncs them as payment records with a Failed status. ClearSync does this for you by recording every failed charge attempt as its own HubSpot payment record, so you can filter Payments by Status = Failed or build a list of Companies with a recent failed payment.

How do I see total revenue from Stripe in HubSpot?

Total revenue collected from Stripe shows up in HubSpot once Stripe payments are synced into HubSpot's Payments object, where you can report on successful payments minus refunds by month, account or owner. ClearSync syncs those payments and creates a "Total Subscription Spend" field for you, summing the total of all successful payments for a customer automatically. ClearSync also syncs MRR and ARR, so collected cash and recurring revenue sit side by side in HubSpot.

What's the best way to see total cumulative customer spend from Stripe inside HubSpot?

The most reliable way to see cumulative customer spend from Stripe in HubSpot is a lifetime spend property calculated from every Stripe payment, minus refunds, on a record associated with the Company. ClearSync calculates Total Subscription Spend on each Stripe Subscription record for you automatically.

Can I calculate sales commissions from Stripe payments in HubSpot?

Yes, you can calculate sales commissions from Stripe payments in HubSpot once each payment is a HubSpot record associated with the Company and its owner. ClearSync syncs subscription payments together with usage charges and one-off invoices for subscription customers, so commissions reflect everything the customer paid.

Does ClearSync sync one-time Stripe payments to HubSpot?

ClearSync syncs one-time Stripe payments to HubSpot for any customer who has, or has had, a Stripe subscription, including standalone invoices and one-off charges. One-time payments from customers who have never subscribed don't sync, and one-time payments outside a subscription never change MRR or Total Subscription Spend.

Does the HubSpot Stripe Data Sync app sync Stripe payments?

HubSpot's free Stripe Data Sync app syncs Stripe payment transactions only on HubSpot Enterprise, where they land in a custom object, and it doesn't match them to Companies or calculate lifetime spend. ClearSync works on every HubSpot edition and writes payments to HubSpot's native Payments object with Contact and Company associations.

Which HubSpot edition do I need to see Stripe payments with ClearSync?

ClearSync's payment sync works on every HubSpot edition, including Free and Starter, for viewing payment records on Contacts and Companies. Custom reports and workflows built on the Payments object need HubSpot Professional or Enterprise, which is a HubSpot requirement rather than a ClearSync one.
