This Privacy Policy explains how ClearSync, Inc. (“ClearSync,” “we,” “us,” or “our”) collects, uses, and shares personal information about people who visit our website at clearsync.ai, sign up for or use the ClearSync app, or otherwise interact with us. It also explains how we handle the Stripe and HubSpot data our customers sync through ClearSync.
ClearSync is a business-to-business product. Our Terms of Service (https://www.clearsync.ai/terms) govern use of the product, and our Trust Center (https://www.clearsync.ai/trust-center) has more detail about our security practices.
1. Who we are
ClearSync, Inc. is a Delaware corporation located at 125 Mt. Auburn Street #380773, Cambridge, Massachusetts 02238, USA. ClearSync syncs Stripe billing data into HubSpot and calculates revenue metrics such as MRR and ARR for reporting and automation in HubSpot.
2. Two kinds of data, two roles
Information about you (this policy). When you visit our website, create an account, buy a plan, contact us, or join a call with us, we collect information about you and decide how it is used. This policy governs that information.
Customer Data (our customers decide). When a customer connects its Stripe and HubSpot accounts, ClearSync processes the data in those accounts, including information about the customer’s own customers, on the customer’s behalf and according to the customer’s instructions. We call this “Customer Data.” Our handling of Customer Data is governed by our Terms of Service and, where signed, our Data Processing Agreement (DPA) with that customer. Section 4 describes what Customer Data we access and how we protect it. If you are a customer of one of our customers and have a question about your data, please contact that business directly; we will help them respond.
3. Information we collect about you
Information you give us
Account information: your name, work email address, company, and login credentials when you create an account. Sign-in is handled by our authentication provider, Clerk. If you sign in with Google, see Section 11.
Contact and sales information: your name, work email, company, job title, phone number (if you provide it), and your message when you fill out a form, book a demo, or email us.
Billing information: billing contact details and invoice history for your ClearSync subscription. Payments are processed by Stripe through Stripe-hosted checkout. We do not receive or store your full card number.
Support and communications: emails, chat and Slack messages, and other correspondence with us.
Calls: for support and onboarding calls, we may use a meeting note-taking tool to record or transcribe the call. If you’d prefer we didn’t, tell us at the start of the call.
Information collected automatically
Usage and device information: IP address, browser and device type, operating system, pages viewed, links clicked, referring page, and the date and time of your visit.
Cookies and similar technologies: see Section 6.
App activity: sign-in and sign-up events, configuration changes, and sync activity in the ClearSync app, which we log to operate, secure, and troubleshoot the service.
Information from other sources
Website visitor identification: we use Vector, a service that may tell us the company or person associated with a visit to our website, so we can understand who is interested in ClearSync and reach them with relevant advertising and outreach.
Advertising and analytics platforms: LinkedIn, Google, and HubSpot report information about how people respond to our ads and website.
4. Customer Data from Stripe and HubSpot
This section describes Customer Data that ClearSync handles on behalf of our customers when they connect their accounts.
From Stripe. ClearSync connects to a customer’s Stripe account through our Stripe App using OAuth. Its access to billing data is read-only. ClearSync reads the customer’s Stripe customers (including names, email addresses, and business names), subscriptions, products and prices, invoices, charges, payments, refunds, credit notes, coupons, and payment methods. For payment methods, ClearSync stores only the payment method type and last four digits. Stripe does not give apps full card numbers, CVVs, or full bank account numbers, so ClearSync never receives them. If a customer uses our optional Stripe Workflows integration, ClearSync also receives data that the customer’s Stripe workflows send to it.
In HubSpot. ClearSync connects to a customer’s HubSpot account through our HubSpot app using OAuth. It reads contacts and companies to match Stripe customers to the right records, and writes subscription, MRR change event, and payment records and their associations. It creates contacts and companies only if the customer turns that option on.
What we store. We store the Customer Data needed to run the sync and calculate metrics in our database, including Stripe customer names, email addresses, and business names; subscription details; calculated MRR change events; payment records (such as amount, status, and payment method type and last four digits); and the Stripe IDs needed to keep records in sync.
How we use it. We use Customer Data only to provide, maintain, and support the ClearSync service for that customer, according to the customer’s settings. We also use the customer’s total ARR and number of active subscriptions to determine its pricing. We do not sell Customer Data, use it for advertising, or use it to train artificial intelligence or machine learning models.
Who can access it. Customer Data is accessed by ClearSync personnel only as needed to operate the service, investigate sync issues, or make changes the customer requests, and by our service providers as described in Section 7.
How long we keep it. We keep Customer Data while the customer’s account is active. We delete it promptly when a customer deletes its account or asks us to, and otherwise within 60 days after the customer’s subscription or free trial ends. Deleted data then ages out of our database backups within 2 days and out of our logs within 30 days. Records already written to a customer’s HubSpot account stay under that customer’s control.
5. How we use information about you
We use the information described in Section 3 to:
Provide, operate, and maintain our website and the ClearSync app, including creating and managing your account
